Quotation editor
The quotation editor is the detail view of a single quote: on the left the configuration your customer put together, on the right the customer themselves. This is where you adjust a quote, apply a discount, change the status and generate the PDF you send.
Where to find it
Manager → Quotations, then click a quotation. The page title reads Quotation #number, with the date and time of submission underneath.
Status, date and total
Top right, above the customer panel, sit the three facts about this quote:
- Status — the label the quote carries in your pipeline. Click the pencil next to it and pick a different one, or No status to remove it. Below that you manage the labels themselves: change a Name or Color, remove one (a status still used on a quotation is kept, and at least one must remain), or create a new one with Add status; Save stores the list. Those labels are shared across every quotation and are the columns of the kanban board in the quotes pipeline.
- Date — when the customer submitted the quote.
- Total price — the total of the configuration below, discount included.
Choosing a status saves immediately — no separate save step.
The configuration
The left panel is the quote itself, as a table: per product a heading, per step a numbered section, and underneath the features with their value and their price. A step configured more than once shows · n repetitions and lists each repetition separately.
Three icons in the margin flag something worth knowing:
| Icon | Meaning |
|---|---|
| Orange box | The feature is in the configuration and was resolved normally. |
| Orange triangle | Feature name is missing — the line has no name; the underlying feature no longer exists in the product. |
| Info circle | Custom feature (not in configuration) — a line that was added by hand and does not come from the product. |
At the bottom of the table: Total. Once a discount is applied, Subtotal and the discount line appear above it.
Changing a line
Each product heading has two buttons:
- Reconfigure opens the configurator for that line, exactly as the customer had it, with the running total (discount included) in its header. Change what you need, apply, and the lines below update. The change is not saved yet.
- The trash button deletes the whole line from the quote. Click it once to arm it, a second time to confirm.
Save asks for confirmation, and the message is meant literally: after saving, the quote no longer matches the configuration the customer submitted. That is fine — you are the one making the quote — but the original configuration is gone.
Adding a configuration
Add opens a list of everything you can put on this quote: your own products and products from suppliers. Products that belong to a showroom are not listed. Pick one, configure it, and it is added as a new line. The quote is not saved yet — a toast reminds you. A quote without lines shows an Add button in the empty table as well.
One quote holds either your own products or products from a single supplier. Adding a product that does not fit is refused with a message; create a new quotation for it instead.
Is the quote built from a showroom? Then a Reconfigure button appears next to Add that reopens the whole showroom scene, rather than one line.
Discount
Above the total sits Add discount, with two ways to apply it:
- Discount code — pick one of your discount codes. Only codes that are active and not used up are listed. It is checked at that moment; an invalid, expired or exhausted code is refused.
- Manual — enter a value yourself, without a code, as a percentage (%) or an amount (€).
Apply puts the discount in the table; the total adjusts immediately. A quote carries one discount at a time. The cross next to the discount line removes it again.
Saving
As soon as you change something, three buttons appear in the top bar:
| Button | What it does |
|---|---|
| Discard | Reverts all your changes. |
| Save | Stores the changes on this quotation. |
| New version | Saves your changes as a new quotation, leaving the original untouched. |
Without changes, a greyed-out Saved button sits in their place. Ctrl+S (Cmd+S on Mac) saves as well.
New version is the safe option when a customer wants to see two variants: you keep the original quote and get a second one you can send alongside it.
Output
| Button | What it does |
|---|---|
| Generates the quotation PDF and shows it in a preview inside the page. Back to quote closes the preview. | |
| CSV | Downloads the configuration as a CSV file, with the columns Product, Step, Feature, Value and Price. |
| Download PDF | Downloads the PDF instead of previewing it. |
The layout of the PDF comes from the template editor; this page only fills in the data. If the PDF cannot be made — for example because no PDF template is linked to the quotation — a PDF not generated message tells you why.
Back to overview returns you to the list of quotations.
The customer
The right panel holds the person behind the quote.
Edit switches the panel to edit mode, with Personal (birth name, family name, email, phone) and Address (street, apartment, city, zip, country). Save stores it. Above the fields sits Find existing customer — search by name, email or phone, and pick a person to fill the fields with what you already have. A quote without customer details opens straight in edit mode.
In read mode the email address, phone number and address are clickable: they open your mail client, your phone and a map.
Extra information
Fields your customer filled in outside the configuration — from the form or the submission — appear here, each in the right form: checkboxes as a Yes/No badge, locations with a map pin, email and phone as links.
Previous quotations
If this customer requested more quotes, they are listed here. Click one to jump straight to it. Useful when someone comes back after a few months: you see at a glance what you quoted before.
Tips
- Use New version instead of Save when comparing. Two quotes side by side beats one quote you overwrote.
- Set the status while you have the quote open. It saves immediately and keeps your pipeline honest without a separate round.
- Check the PDF before you send it. The preview is one click and shows exactly what the customer receives.
- Watch for the warning icons. A missing feature name usually means the product changed after the quote was submitted.
